This HR and payroll system is designed for growing organizations that need to manage employees, process payroll, track time off, and ensure compliance—all from a single, integrated platform.
The system handles core HR functions: employee records, job history, compensation, benefits, payroll processing, tax withholding, W-2 generation, PTO accrual, policy management, and performance tracking. Atoosa AI provides intelligent assistance with HR operations, employee communications, and compliance recommendations.
Business Problem
Growing businesses struggle with HR and payroll complexity:
- • Fragmented systems: Employee data in one system, payroll in another, time tracking in a third
- • Manual processes: Payroll processing, tax calculations, and compliance reporting are manual and error-prone

My Role
System Architect: I designed the data model for employee records, compensation, payroll calculations, tax withholding, and PTO accrual systems.
Workflow Designer: I designed payroll processing workflows, PTO request and approval flows, compliance checking workflows, and manager review processes.
Full-Stack Builder: I implemented core HR functionality including employee records, compensation management, payroll calculations, W-2 generation, and the employee self-service portal.
Architecture & Technical Approach
Modular Architecture
The system is organized into modules: employee records, compensation, payroll, taxes, PTO, benefits, policies, and reporting. Each module can operate independently or integrate with others.
Payroll Engine
A sophisticated payroll processing engine handles salary calculations, deductions, tax withholding (federal, state, local), overtime calculations, and direct deposit. The engine is designed to be accurate, auditable, and compliant.
PTO Accrual Logic
The system calculates PTO accrual based on policy rules (e.g., days per year, tenure-based increases), tracks usage, enforces carryover limits, and handles different PTO types (vacation, sick, personal, sabbatical).
Compliance & Reporting
Built-in compliance checking ensures policies are followed. The system generates required reports: W-2s, W-3s, 1099s, 941s, state tax filings, and audit trails for every action.
Role-Based Access
Different roles (employees, managers, HR, finance, compliance) have different access and capabilities. Employees can view their own records; managers can approve time off and reviews; HR manages policies; finance reconciles payroll.
HR Dashboard
The HR dashboard centralizes employee management, payroll processing, and compliance workflows, providing teams with the tools needed to run HR operations efficiently and securely.

Building a payroll engine that handles complex scenarios (bonuses, deductions, tax withholding across jurisdictions, overtime rules) while remaining accurate and auditable required careful testing and validation.
PTO Accrual Complexity
PTO policies vary widely (tenure-based accrual, different rates for different roles, carryover limits, use-it-or-lose-it rules). Designing flexible accrual logic that handles diverse policies required careful system design.
